So I want to condense the amount of paperwork I have & get, by scanning & or saving everything online to make it digital filing from now on. So, I am thinking of opening a separate email account specifically for digital filing. I thought I would use the email account to save all scanned & saved document paperworks into folder files, shred the physical paperworks, donate the shreds to pet stores etc (all ID related informations would be security stamp blocked out before shredded, of course) & only keeping any signature based paperwork in it’s physical form for the filing cabinet. I was just going to use a hotmail or gmail accounts. I would use my iClouds accounts, but it’s limited storage. & I only have less than 500MB left for some unknown reason, lol. I am concerned that using those recommended in the posts, as my digital filing system, that when either the company goes under, or no longer functions for whatever reason, or new idea comes up, making the previous programs scrapped of existence, then I’d lose everything I had on it.

Your explanation was wonderful. I too have developed a system for “tags” or keywords, but since I work from a Mac AND a windows machine, in sync with dropbox, spotlights comments wouldn’t work. What I do is put tags right in the filename. So a filename with a layout for a client will be called “layout-homepage-client-name-20121230.psd” the numbers in the end are the date of the filename creation, in the year-month-day format. They are needed as my “tags” would sometimes overlap like “wallpaper-nature-brazil-beach” (I have 4 files that match this description).
